I use a query output on my dashboard to see which gifts have come in this week. All of my gifts are split gifts as we take a small percentage to go towards overheads. When the gift is split however the split amount is not shown on the query - the entire amount is shown in duplicate, making it appear as if I have received double the amount of gifts in any one week. Could this be fixed?
a) query is not a reporting tool - normally. But then they go and add something stupid like linking dashboards to query, then they become reports. Grrr
b) There are split amount fields in query that you should be using. If you split them by campaign you will find this under campaign - if you split them by fund, you will also find this field under fund.
So this is not a fix that you need, you just need to put the right field into the output of your query.
While the suggestion to use split amounts is a good one, it doesn't work if we want Total Gift Amount for each constituent in the output. While queries are not reporting tools, using an export is much more cumbersome. Imagine this scenario: you want a total amount of gifts, excluding year-end giving. In a query, you just select "Total Gift Amount", and then you add a filter for "Appeal Description" does not equal "Year-End". In an export, if you choose "Total Gift Amount", you then have to pick the Appeal filter, set it to "Include Selected", move all appeals (and there could be hundreds and hundreds after many years) to the Selected side, and hunt down the Year-End appeal to move out of the Selected side. Then, you have to export the list, and go through layers of folders to find it. If we find a mistake in that file, we might have to fix the query, and then re-export, and it's all preventing us from doing our work quickly. If the issue was fixed in query, it would be much easier for us to work efficiently.
Here's the problem in a nutshell - if a query includes a "Total Gift Amount" field in the output, and that field has a Campaign/Fund/Appeal filter, then whenever a constituent has a split gift, the query uses the gift amount, not the split amount, to calculate that field. For example, if a donor has 3 gifts - $20, $40, and $100, and the $100 is split between appeal A and appeal B, the Total Gift amount will show a total of $260 - $20+$40+$100 (Gift 3 Appeal A)+$100 (Gift 3 Appeal B), which is incorrect. Using the split amount instead would not be an issue, because each gift, by default, uses the total gift amount as the split amount, if there's no split. It's pretty frustrating that instead of fixing this issue, which Blackbaud has known about since 12/20/2004, we are just told to use Export instead.
