Fix problems with former solicitor relationships

Former Solicitors should work like any database expects - add an end date and it is considered former. Unfortunately it is not that easy in RE and querying on current solicitors is difficult and outputting only the current solicititor in output of a query (so you can use it in a pivot report or dashboard) is impossible.

You have to make this much easier if you are going to continue to only allow query output to be used for these features!

Anyone else have suggestions where former solicitor relationships are not currently working for them?

Also, they should not autopopulate on gifts when batching when you have inactivated the solicitor, changed them to former solicitor, AND added an end date!

We solved this problem by creating a different solicitor type which we use on any relationships with an end date. For example we have Moves Manager on current solicitor relationships and Moves Manager - History on any former solicitor relationships. It's not ideal, but it solved this problem. We used Import to change all solicitor relationships with an end date to append "- History" to the solicitor type on those relationships.

Marian - I have done this too - but it is not a solution - it is a poor workaround. It is still impossible to get only that solicitor to appear in the output of a query to include in a pivot report or dashboard)

Having a sort of 'Primary' checkbox as well would be great. Would be good to just be able to add the primary solicitor to the query, which will automatically be unchecked if you fill in the date to - currently we use Date To is blank to take out all the former solicitors in queries. In the case where you may have 'Account Manager' types of solicitor and 'Volunteer Board Manager' (you might need the ability to make two solicitors primary. But if all solicitors are considered former it would be great to be able to search for those with no current solicitor more easily as well - it's a bit fiddly at the moment.

When entering gifts (individually or batch), it would be outstanding for the gift solicitors drop-down to only show solicitors without an end date and the solicitor type for each solicitor. We have multiple current solicitors (Primary, Secondary, Presidential/Provost) so without the solicitor type, data entry staff don't inherently know who the Primary solicitor is. A less desirable solution would be to show the the solicitor type in the gift solicitor grid, so that gift entry staff can choose a certain type regardless of end date.

Yes, yes, yes and yes. Could not agree more on all of these comments! Creates a real headache for our organization.

There needs to be a solicitor replacement workflow. Currently, the BB support suggestion is to globally add the new solicitor, and globally delete the old solicitor - but we lose all solicitor information in the process! We need to be able to move the date from, solicitor type, campaign/fund/appeal, goal, etc. - and we need to put a date-to on the old solicitor's record.

yea i'm so tired of my birthday dashboard(solicitor query) returning 4 times for one birthday (or more if solicitation is shared across that person/spouse). I have had to move all former solicitors to an attribute just to narrow down to this many lines.

Agree 100%. We just did a massive overhaul of our assigned solicitors, and rather than simply adding an end date with the "Primary Manager" type, I had to change all old assignments to "Former Primary Manager" to allow me to export ONLY the current Primary Manager.

I run into similar problems with indiv-to-org relationships: I can ask for a specific relationship type, but I can't tell it to give me only the one that is most current (that has no end date indicated). We have people who have a relationship of being the contact or "clerk" for a given organization, and we're regularly wanting to pull out the relevant "clerk" name and contact info for given organizations. Most of these organizations have several people over the years who've been "clerks" so it would be great if we could further filter by end date = not blank. As it stands, we have to do add a lot more export fields for this set of data in order to make sure we're able to capture current "clerks", and a lot of manual sorting and cleaning post-export to get our data distilled enough to actually use.

Barb Van Handel is commenting: I run into this all the time when running solicitor based reports. It is extremely time consuming to check and fix reports for accuracy. A while back I chatted with Blackbaud Support and they got others in support involved and also came to the conclusion that there was a definite problem. We tried every possible thing to only get the reports to pick up the current solicitor. Changing the type from Primary to Prior and putting an end date does NOT work. We tried that.
