Email addresses and phone numbers were split out from Addresses in the RE 7.94 release. Sorry it took so long to get this idea updated, but marking it as Shipped now.
It would save time if phones were part of the constituent record rather than the address record, as several phones e.g. mobiles, emails, apply to the constituent at all their addresses.
Yes! this is a pain. We are training operations staff to log in and make their address changes..and now we have to expect them to remember moving all phone types to the new preferred addy. Without knowing this issue..I am sure we have lost many phone/emails as they are sitting on previous addresses. It isn't logical that it just vanishes from tab 1.
Nicole - none of your staff should be creating a new preferred address and having to move any phone numbers or emails. RE has a copy preferred to alternate option which takes your current address and makes a copy to keep as a former address - you then simply update the preferred address. In that process you would elimiate only phone numebrs and emails that are no longer valid - you would keep cell phones, emails, etc.
This is best practice and in my opinion the ONLY way to properly change a preferred address. You would then only be using the "new addresses" button if the address you are adding is secondary or seasonal.
There are hundreds of other reasons why this is necessary - mostly related to connections to emails and phone systems, the way you have to export email addresses from dozens of different addres types to get a comprehensive email list, as well as the the fact that only the ones on the preferred address display on Bio 1.
In terms of forms and export, phones and emails as individual components of the constituent record, not linked to a particular addresses, would be extremely helpful! Also being able to see them as a separate column in a query list would be helpful. As someone posted earlier, personal emails and cell phones usually apply to a constituent at multiple addresses, and stick with them through any number of moves.
Melissa - Yes, I see that click of a button..but, we have to explain to the operations staff that it needs to be done or it will be lost. There are so many little clicks that can do some damage to the reporting data. We want operations staff to maintain small pieces of the data in RE so that the load is off the Database manager and updating an address is more steps that we would like.
Nicole, I agree and disagree. It takes training and often is best centralized to people who are not only trained but also do it regularly. You can get trained and not do it for 6 months and have completely forgotten this by then. I agree that the phone numbers should move (either fully or partially) but not for the reason you stated. even after the phone numbers move you still need to use this copy preferred address to alternate feature. It is the only proper way to keep linked addresses up-to-date.
When outputting or selecting on email address, it takes a whopping SIX clicks to get to email. It should be a field in and of itself like it is in other databases (remembering Team Approach fondly).
Copy Preferred Address to Alternate or Bust! I'm not even sure why there's a button for New Address. My new Ops team was so delighted when I showed them this feature - they had been spending so much time (and potentially making so many errors) cutting and pasting phone numbers.
I wanted to include both phone numbers and email addresses in a query output. In order to find out where these fields are located I needed to call support to try to find out where these fields were located. Because this is important information, it should be more easily accessible than it is. In your knowledge database, the instructions were not very helpful. In step 4 it states "on the criteria tab, select filtering criteria". It doesn't indicate where one needs to go. After working with the support rep, I found out that I needed to go to several different sub fields before I was able to locate phone and email. If you could give it its own field like you do for constituent information, gifts, etc., it would be very helpful.
Yes please - so often the email address is not on the preferred address or have been entered as another address in its self - pulling this data out even my export is a nightmare. We need start and end dates so we know which ones are valid - currently we can hold up to 5 email address's per person - Alumni, Home, Busness, Uni Provided and often they have a second home email address? Definitely. Email and phone is for a constituent/person regardless of that person's address. I quite frequently forward work email and phone to my cell when I'm out-of-office (OOO).
I think it's more important to look at this holistically. The email and phone have been tied more to a single person than a whole household. Email is very rarely for more than one person. Making email a phone type was a short sighted quick fix with a solution that's long overdue.
While I agree with moving emails and phones off of addresses. I do wonder about Business Phones and Business emails, which pretty much ARE tied to a particular (business) address.

Move email/phone off addresses and allow them to hyperlink with other programs besides Outlook. Particular Google and Google apps
We use a hyperlink to an inhouse page (per ID) on the phone type and link all other links off that. Its not ideal but it works :-)
