In Business Rules there should be a Media option 'Allow Linked Files Only' to stop users embedding large objects in the database and forcing them to link file. Also, under File Locations there should an option to specify where Media files are located.
Or even a default so that EVERY TIME I enter a new Media record, I don't have to check the Linked checkbox.
I have a filing system setup with coded filenames, then link them to Media tab on the appropriate records, and put the filename (cut-and-paste) in the Title field - would be great if that were automatic. This way, you're not dependent on RE to maintain the links, and if something went terribly wrong, the filenames in the Title field can help resurrect those links. (Every so often, I export a list of those Title fields, just in case.)
Yes, if the business rule above was applied, then I envisage the Linked checkbox to be 'checked' and also 'greyed out'. (but visilble)
If the business rule was not applied, then an option to set a default for the Linked checkbox would be good.
This should go both ways. I would also like to be able to require it be imbedded.
Neville - my Info Services Dept just moved/renamed our network breaking ALL of the links in my database. I now strongly recommend imbedding.
Melissa, You should contact your IT department about setting up an alias for you. There might be a way to repair the broken links using an alias that points the old name to the new server/share.
I would also like to be able to query on media that is linked vs embedded.
An update, in case it's helpful to someone else:
We are in the process of moving to being Hosted, in preparation for RE:NXT. Media files CANNOT be linked if you are Hosted. So we are now in the process of embedding ~3,200 media files and deleting the linked records. On top of that, we have thus far had 2 new files experience errors causing them not to be able to be opened once embedded in RE. There is no way (I had Support check for me) to access the Media file from the back end or recover the broken file. So we are STILL keeping a backup copy of every Media file we have. (Because we stopped keeping paper files 3.5 years ago, so if we lose the electronic file, we've lost it all.)
